Deposit Refund: Issued post clearance. Deductions apply for:
- Incomplete or delayed work
- Violation of non-working day policy
- Late removal of stall material
Non-Working Day
Effective 7th Jan: Activities causing dust, disruption, or obstruction—such as drilling, cutting, and painting—are strictly prohibited within the exhibition premises.
Stall Specifications
- Shell Scheme / Bare Space (Min. 12 / 24 sq. m): Includes basic furniture & electrical connection; extras chargeable.
- Open Space (Min. 25 sq. m): Chalk-marked area with base facilities; electricity must be pre-booked (single phase). Additional consumption billed at spot rates.

Conditions: Collected before fabrication; refunded post-event if all terms are met.
General Terms
- Stall allotment is first-come, first-served.
- Booking confirmed upon full/partial payment.
- No sub-letting permitted.

Counter sales prohibited during expo.
- Equipment/exhibits may be sold post-event; exhibitor is responsible for applicable taxes.
Stand Setup & Possession
- Bare space possession: 4th–6th Jan (10:00 AM–12:00 Midnight)
- Full payment of participation fees, deposits, and service charges via banker’s draft/cheque is mandatory prior to possession.
- If payment/setup is incomplete, the Organizer may reassign the stall.
Stand Design & Construction
- All display elements must remain within stall boundaries.
- All structural display designs must be submitted to the Organizer for approval at least 30 days prior to the start of the Expo.
- Designs must ensure stability and structural integrity, with all supports confined strictly within the allotted exhibition area. Use of external supports is not permitted.
- The Organizer reserves the right to request modifications to submitted designs. Exhibitors are obligated to implement these changes as directed. If such changes are not carried out by the Exhibitor, the Organizer will proceed with the necessary adjustments, with all risks and associated expenses borne by the Exhibitor.
Completion Deadline:
- Stall setup must be complete by 6th Jan, 12:00 Midnight.
- No vehicles allowed post 7th Jan, 7:00 AM.
- Storing materials in unauthorized areas is prohibited.
Activities & Promotions
- All interactions and demos must stay within the stall.
- Audio/visual displays must not disturb neighbouring exhibitors.
- Organizer may remove disruptive equipment.
Material Handling
Only Organizer-authorized agencies permitted for material movement.
Stall Vacating
- Must be vacated by:
- For Shell Scheme – 11th Jan, 6:00 PM to 10:00 PM
- For Bare Space / Open Space – 11th Jan, 6:00 PM to 12th Jan, 10:00 PM
- Delay penalty: ₹5,000/day
Sub-Contracting
No transfer or sub-leasing of stall contract without written Organizer approval.
Cancellation Policy

If stall cannot be allotted, full amount will be refunded.
Force Majeure
- In case of strike, closure, or other unavoidable events:
- Organizer may alter expo schedule or cancel event.
- Contracts remain binding if dates change.
- In case of cancellation, proportionate refund issued after deducting incurred expenses.
Security
- 24×7 security provided; exhibitors must ensure protection of their assets.
- Storage or display of hazardous material is strictly prohibited.
Legal & Venue Clause
- Disputes subject to Pune jurisdiction only.
- Organizer may hold exhibitor property until outstanding dues are cleared.
- Organizer may change venue if unavoidable circumstances arise.
